You are required to be present at both the check-in and check-out, as these processes are managed by the management company or the landlord, depending on the accommodation you are leasing. Your presence ensures that all necessary documentation is completed, and the property is inspected for any damages or issues.

If you are unable to be present, please inform the responsible party in advance so they can provide further instructions or details. Alternatively, you can notify us, and we will coordinate with the responsible party on your behalf. We will ensure that you receive the necessary guidance for the process.

Do I Need To Pay A Security Deposit For Booking My Accommodation?

The deposit is a standard security fee that has to be paid when booking your accommodation.

The deposit equals to twice the flat rate rent for both independent accommodations (whole apartments or houses) and dependent accommodations (rooms). The flat rate is not the advertised price, but always less than the advertised price. The deposit will be refunded within two weeks after the contract end date if everything is in order with the accommodation, keys are returned, i/a deregistration evidence has been provided and other contractual obligations have been met.

How Can I Rent Accommodation If I Am Under 18 Years Old?

You must be at least 18 years old to rent with us. However, if you are under 18, you can rent only if one of your parents provides a signed declaration and acts as the guarantor throughout the rental period.

The process is as follows:

For group rentals (e.g., apartments): All tenants aged 18 or older must sign the tenancy agreement.
For single accommodations (e.g., rooms or studios), this step is not required.
The deposit is paid.
A service fee of €250 (excluding VAT) is paid for preparing and processing the parental declaration.
The parental declaration is manually sent out.
The parent signs the declaration.
The parent signs the tenancy agreement on behalf of the minor.

Keep in mind: It is still possible to book any accommodation on our website without using the booking assistance, but the regular first-come, first-served policies apply.

Is Your Desired Booking Already Reserved?

If you find that the accommodation you applied for is currently reserved, you still have the opportunity to finalise your booking and be placed on the reservation list. If the tenant who reserved the accommodation does not finalise within their given timeframe, the property will become available to the next in line. Should you decide to withdraw, we offer a refund of the one-time payment from the take-in form if you cancel within three days of initiating the booking.

How Does "The Welcome To NL" Booking Process Work?

The booking process consists of the following steps. These steps can be completed within a day, depending on how fast you respond.

Start Booking:

To initiate the booking process, click the 'start booking' button. You can find this button either on the general listing page under the accommodation or directly on the listing page of the specific accommodation. This will open the take-in form in a new tab.

Take-in Form (LINK):

Fill in the form through your web browser. By completing this form, neither you nor Internationals In The Netherlands is committing to any legal agreement. This form is for preliminary purposes only. At the end of the Take-In form, you will be requested to make a one-time payment. If booking as a group, ensure all members complete the form within 24 hours. Failure to do so may result in the contract being sent only to those who initiated the booking. For subsequent bookings, new forms may be required, and previous payments will not be refunded.
Your appointed guarantor will receive an email notifying them of their appointment as your guarantor.

General Terms & Conditions SHH:

Shortly after you complete the Take-In form, we will start validating the provided documents. In the meantime, you will receive an email with the service agreements from Student Housing Hunter (SHH).

Sign Service Agreement SHH:

You will receive the service agreement from SHH with a signing request. The prices mentioned are included in the advertised price shown on the website of IITN listings.

SHH Service Fee Payment:

The one-time payment fee requested by the agency for offering this accommodation to international students and expat through IITN is not included in the advertised price. Click here to read more about the SHH service fee. (LINK)

Draft Contract:

Once SHH informs IITN that the service agreement is signed and we have checked your provided documents and data, your tenancy agreement will be sent to you digitally. Read it carefully and if you agree with its contents, sign digitally.

Finalising:

Once the tenancy agreement is signed by you, the following steps need to be completed to finalize the contract:

Sign POA and Single User's Statement (if applicable):

You will receive a signing request for the Power of Attorney (POA) of SHH/Single User Statement (IITN).
By signing the POA, you authorize SHH/IITN to perform services on your behalf, including exchanging contact information and communicating with your management company or us.

Your Guarantor:

Your guarantor will receive a guarantor form to complete. Once the necessary documents are provided, they will receive a Guarantor Agreement for signing.

The Deposit:

The invoice and instructions for the payment will be received by email.

Signed Contract:

Once the above steps are completed, you will receive a signed copy of the tenancy agreement by email.

Rent Payment:

Upon completing the processing of your tenancy agreement in our system, you will promptly receive an invoice for the rent from the management party. As soon as we confirm the receipt of your rent payment in our bank account, we can proceed to schedule your check-in.

If the booking process is canceled by us before the 72 hours have expired (e.g., accommodation no longer available), the €85 one-time payment will be refunded within 14 business days after the cancellation.
If the booking process is canceled by you, no refund will be provided and the one-time payment will be collected on behalf of the landlord as administrative costs.

If your group does not complete and submit the take-in form within 24 hours, no refund will be provided if the accommodation is rented out after this time period.

Finalising Once the contract has been signed by you, the following steps have to be completed in order to finalise the contract:

The Deposit must be paid immediately. You will receive the deposit invoice from Vivet Associates.
Your guarantor will receive a guarantor form to complete. Once the necessary documents are provided, they will receive a Guarantor Agreement for signing;
Single User's Statement needs to be signed (only if applicable).

Signed Contract Once the above-stated steps have been completed, you will receive a signed copy of the tenancy agreement per email.
Rent Payment Upon completing the processing of your tenancy agreement in our system, you will promptly receive an invoice for the rent from the management party. As soon as we confirm the receipt of your rent payment in our bank account, we can proceed to schedule your check-in.

How Long Can I Stay?

The duration of your stay is determined by the specific accommodation you wish to rent. Each accommodation listing provides information on the allowed length of stay. While some accommodations allow for a stay of 5 months, others require a commitment of 12 months. Please note that all stays are fixed and cannot be extended. This policy is in place to encourage housing market turnover. For further details on contract terms and termination possibilities, please refer to the relevant information provided by the management party.

I Would Like To Book A 'Student Housing Consult'.

The housing market is overwhelmed at this moment. The accommodations are booked before you know it, and before you know it, the new schoolyear is already starting.

If you need any help with housing or understanding your rights as a tenant, you can book a 'Student Housing Consult'. The hourly rate for this consult is 150 EUR., and it is possible to bring along up to 3 other people. The starting rate is one hour, even if you stay less than one hour. After this hour, you will be charged per 15 minutes (e.g. 22 min will be charged as 30 min).

Anything regarding finding housing and rental law can be discussed during this 'Student Housing Consult'. Depending on your topics, you will be having your consult with our lawyer, specialised in rental law or with our 'student housing specialist & educator avoiding scams on the rental market and tenancy law'.

Is a Check-In Necessary?

Yes, a check-in is legally required. The responsible party for the accommodation will conduct the check-in, show you the accommodation, and explain everything you need to know. This is also an opportunity to register the condition of the accommodation before you move in. They will take notes on whether everything is present, functional, and if there are any issues. If any problems are found, they will try to resolve them immediately or as soon as possible.

You will also receive the keys during the check-in. Please note that entering the accommodation before the check-in inspection is not allowed.
